Responsibilities include, but are not limited to:
- Receiving/welcoming the company's clients, collaborators, candidates under the conditions imposed by the rules of collaboration and etiquette.
- Receiving postal messages, fax and electronic messages, etc. intended for the company, distributing received messages to the targeted departments (managing the company's email address).
- Answers phone calls and directs them to the responsible persons.
- Provides general information about the company to guests and collaborators.
- Tracks and places the necessary fior water, hygiene materials and office supplies.
- Is responsible for the Archive of company documents.
- Records and distributes documents and correspondence to internal departments. Keeps the register of numbers entering/exiting the company.
- Scans and manages invoices, notices, other specific documentation, and directs them to the departments involved.
- Organizes appointments for meeting rooms in the case of visits or at the request of department heads.
- Provides logistics for meeting rooms, monitoring the existence of the necessary catering (water, coffee, snacks, etc.).
- Verifies and places catering orders for guests, collaborators, delegates, candidates, at the request of department heads.
You will be required to provide:
- Bachelor’s Degree
- Proven experience on a similar position
- Strong communication, interpersonal and organizational skills
- Business formatting of documents
- Proper telephone etiquette
